Privacy Policy
1. Introduction
This Privacy Policy (“Policy”) is published by IFH Operations LLC, doing business as Ice Forge Hockey Training Center (“Ice Forge,” “we,” “us,” or “our”). It explains how we collect, use, and share personal information from visitors and users of www.iceforgehockey.com (the “Site”) and our training facility located at 2925 Airway Ave, Suite A, Costa Mesa, CA 92626 (the “Facility”).
By using the Site, booking a session, or creating an account with us, you agree to the practices described in this Policy.
2. Information We Collect
We collect the following categories of personal information (“Personal Information”):
2.1 Information You Provide Directly
- Account information — name, email address, mobile phone number, mailing address, date of birth, and emergency contact details (collected when you create a Mindbody client account or submit a contact form).
- Payment information — payment card or account details, processed by Mindbody and its payment processors. We do not store full payment card numbers on our servers.
- Booking and program information — sessions booked, classes attended, coaches selected, skill level, equipment preferences, and any waivers or releases signed.
- Communications — messages you send via our contact forms, SMS, email, or social media.
- Marketing preferences — your opt-in choices for promotional email and SMS communications.
2.2 Information Collected Automatically
- Usage data — pages visited, links clicked, search queries, referring URLs, session duration.
- Device information — IP address, browser type and version, operating system, device identifiers, screen size.
- Cookies and similar technologies — see Section 6 (Cookies & Tracking Technologies) below.
2.3 Information from Third Parties
- Mindbody — when you book a session, register, or create a client account, Mindbody shares booking, attendance, and account information with us as our service provider.
- Social media platforms — if you interact with us on Instagram, Facebook, TikTok, X, or YouTube, we may receive limited profile or engagement information.
- Coaches and staff — referrals, prospect inquiries, and notes about your training goals.
2.4 Sensitive Personal Information
We do not knowingly collect sensitive personal information as defined under the California Privacy Rights Act, except limited health-related information (e.g., injury history, medical conditions relevant to safe participation) that you voluntarily share when registering for sessions or signing a liability waiver. We use this information solely to provide safe training and emergency response, and we do not use or disclose it for advertising or profiling.
3. How We Use Personal Information
We use Personal Information to:
- Create and manage your client account
- Process bookings, payments, refunds, and waitlist notifications
- Communicate with you about sessions, schedule changes, and account activity
- Send promotional emails and SMS messages, if you have opted in
- Personalize and improve the Site and our services
- Match you with appropriate coaches and programs
- Maintain the safety and security of the Facility
- Comply with legal obligations, court orders, and lawful requests from government authorities
- Detect, investigate, and prevent fraud, abuse, or harm to our users, staff, or property
- Defend or assert legal claims
4. How We Share Personal Information
We share Personal Information with the following categories of recipients:
4.1 Mindbody (Booking & Client Management Platform)
We use Mindbody (mindbodyonline.com) as our booking, payment, and client-management platform. When you create an Ice Forge client account, book a session, or make a purchase, your account information, booking history, payment details, and marketing preferences are shared with and stored by Mindbody. Mindbody processes this information under its own privacy policy and in accordance with our agreement with Mindbody. We encourage you to review Mindbody’s privacy policy at mindbodyonline.com.
4.2 Other Service Providers
We share Personal Information with vendors who help us operate the Site and our business, including:
- Hosting and infrastructure providers (Vercel, Neon)
- Email delivery providers (Resend)
- Analytics providers (Google Analytics, Google Tag Manager)
- Communications providers (Twilio or other SMS providers, as applicable)
- Customer support and CRM tools
- Marketing and advertising platforms (Meta, TikTok, X, where applicable)
These vendors are contractually limited to using Personal Information only to provide services to us.
4.3 Coaches and Staff
Limited Personal Information (e.g., name, email, session notes) is shared with the specific Ice Forge coach who is conducting your session, where you have indicated a preference to be matched with that coach.
4.4 Legal and Safety
We may disclose Personal Information when we believe in good faith that disclosure is necessary to:
- Comply with applicable law, regulation, subpoena, or government request
- Enforce our Terms of Service or other agreements
- Protect the rights, property, or safety of Ice Forge, our users, staff, or others
4.5 Business Transfers
If Ice Forge is involved in a merger, acquisition, financing, reorganization, or sale of assets, Personal Information may be transferred to the successor entity, subject to the protections of this Policy.
4.6 With Your Consent
We may share Personal Information with other parties when you direct us to do so or otherwise consent.
We do not sell Personal Information for monetary consideration. Whether certain analytics or advertising practices constitute “sharing” of Personal Information under the California Privacy Rights Act is being assessed; see Section 7 for your California rights and how to opt out.
5. Children’s Privacy
Ice Forge serves athletes of many ages, including minors. The Site is not directed to children under 13, and we do not knowingly collect Personal Information from children under 13 without verifiable parental consent.
For participants under 18, a parent or legal guardian must create the Mindbody account, complete bookings, and sign all waivers. Parents and guardians may review, correct, or delete their child’s Personal Information by contacting us at the address in Section 11.
If you believe we have inadvertently collected information from a child under 13, please contact us and we will delete it.
6. Cookies and Tracking Technologies
We use cookies, web beacons, and similar technologies to operate the Site, remember your preferences, analyze traffic, and (with your consent where required) deliver advertising.
Categories of cookies and trackers in use:
- Strictly necessary — required to operate the Site (e.g., session cookies, referral attribution).
- Analytics — Google Analytics 4, Google Tag Manager.
- Advertising — Meta Pixel, TikTok Pixel, and similar tools used to measure ad campaigns and reach prospective clients.
You can control cookies through your browser settings. If we offer a cookie banner or preference center, you may also manage your choices there.

7. Your California Privacy Rights
If you are a California resident, the California Consumer Privacy Act (“CCPA”), as amended by the California Privacy Rights Act (“CPRA”), grants you the following rights with respect to your Personal Information:
- Right to know what categories and specific pieces of Personal Information we have collected, the sources, the purposes of collection, and the categories of third parties with whom we share it.
- Right to delete Personal Information we have collected about you, subject to certain exceptions.
- Right to correct inaccurate Personal Information.
- Right to opt out of “sale” or “sharing” of Personal Information for cross-context behavioral advertising. We do not sell Personal Information for money. To the extent any of our advertising or analytics practices may be considered “sharing” under California law, you may opt out by following the “Do Not Sell or Share My Personal Information” link in the Site footer, by setting a Global Privacy Control signal in your browser, or by contacting us.
- Right to limit use of sensitive personal information to the purposes described in Section 2.4.
- Right to non-discrimination for exercising any of these rights.
To submit a request, email IFHteam@iceforgehockey.com with the subject line “California Privacy Request” or call (657) 210-4536. We will verify your identity before responding (typically by confirming information already on file with us or Mindbody). You may also use an authorized agent; we may require written authorization and verification of the agent’s identity.
We will respond within 45 days, with one 45-day extension permitted as allowed by law.
“Shine the Light” (Cal. Civ. Code § 1798.83):California residents may request a notice of categories of Personal Information disclosed to third parties for those third parties’ direct marketing purposes. To request this notice, email IFHteam@iceforgehockey.comwith the subject line “Shine the Light Request.”
8. Other U.S. State Privacy Rights
If you reside in another U.S. state with a comprehensive consumer privacy law (e.g., Colorado, Connecticut, Virginia, Utah), you may have similar rights to access, delete, or correct your Personal Information, or to opt out of targeted advertising. Submit requests using the contact details in Section 11.
9. Data Retention
We retain Personal Information for as long as your client account is active, and for a reasonable period thereafter to comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. Mindbody retains booking and account information in accordance with its own retention policies and our agreement with Mindbody.
10. Data Security
We use reasonable administrative, technical, and physical safeguards to protect Personal Information. No system is perfectly secure; we cannot guarantee absolute security.
